AI receptionistHey, thanks for calling Direct To Home. I'm Lee, your AI receptionist. This call is recorded. What's going on with your heating or AC?

HomeownerHey Lee, my AC is running, but it's blowing warm air. Could I get an appointment for tomorrow?

AI receptionistGot it. Your AC is running, but not cooling. What ZIP code is the home in?

HomeownerDo you know how much it would, like, cost for something like that?

AI receptionistI don't have a repair price to quote since it can depend on what's causing the issue. Would you like to look at appointment times for tomorrow?

HomeownerYeah, sure.

AI receptionistAll right. What ZIP code is the home in?

Homeowner81301.

AI receptionistThanks. And who will the appointment be for?

HomeownerFor John Smith.

AI receptionistThanks, John. Is the number you're calling from the best callback number?

HomeownerYep, this one works.

AI receptionistAll right. And would you prefer a morning or afternoon appointment tomorrow?

HomeownerWhat are your afternoon spots?

AI receptionistHere are the afternoon slots for tomorrow in Central Time on September 18th at 12 p.m., 1 p.m., and 2 p.m. Which one works for you?

Homeowner2 p.m. works.

AI receptionistDo you have any additional notes or special requests for your appointment?

HomeownerNo, that's it.

AI receptionistYou're all set for tomorrow, September 18th at 2 p.m. Is there anything else I can help you with?

HomeownerNo, thank you.

AI receptionistThanks for calling, John. Have a good day.

Inside the booking example

Three points to listen for.

Understand the request

The caller says the AC is running but blowing warm air. Listen for a clear description that your office can use to understand the request.

Collect useful details

The dialogue asks for a ZIP code, name and callback number. Compare those questions with the information your team needs and the areas you serve.

Check the actual next step

The caller chooses an appointment time. In your own test, compare the caller’s confirmation with the date, time, timezone and status in the resulting record.

Your calls. Your operating rules.

Bring the situations
your team handles.

Choose a few realistic scenarios for a tailored evaluation. Use fictional details in the agreed test environment and keep test bookings separate from the customer schedule.

For each scenario, check:

  1. The information your team receives.
  2. The action that actually completes.
  3. Who owns the next step if it cannot.
  • An ordinary service inquiry

A homeowner in your service area asks about a repair appointment.

  • A request outside your rules

The caller is out of area or needs work your business does not offer.

  • A conversation that needs a person

The caller asks for your team, or the request needs individual attention.

  • A next step that cannot complete

There is no suitable availability, or an action fails. Check the agreed fallback.

From listening to evaluating

Know what you’re testing.

Can we use our existing business number and calendar?

Bring your current setup to the conversation. Forwarding, calendar permissions, coverage and handoff destinations need account-specific checks. A generic demonstration does not establish compatibility with your tools.

What happens when a caller needs urgent help?

Your team defines the approved caller messages and escalation path. The receptionist should not invent technician availability, promise emergency dispatch or give repair instructions outside the agreed scope. The demonstration does not dispatch a technician.

How does this fit into the rest of our follow-up?

Agree who owns the next action after intake and how your team can inspect the outcome. Direct To Home scopes reception as part of the wider customer journey. An inquiry, an appointment, completed work and collected revenue are different outcomes.
